Sourcing Execution: partnerstvo do otpreme

Sourcing execution, from factory choice to ready to ship

Sourcing execution is for firms that want Papillon to run research and factory choice, talks, sample, order prep and production follow-up until goods are ready to send. Freight and customs are not automatically included. They are agreed separately.

Who it is for

Firms that want one responsible person for sourcing to shipment, without running WeChat, RFQs and production follow-up themselves.

What is included (standard scope)

One product family: research, shortlist, desk check and RFQ for up to three factories, in the same scope as supplier selection. Up to five clearly defined products or variants. Talks with one chosen factory. One standard sample round with one factory. Purchase-order prep. Basic production follow-up up to 30 days and two status reports. Basic shipment-document check when goods are ready.

What you get

  • Supplier base, RFQs and a comparison table of offers
  • A summary of factory talks
  • Sample status tracking
  • A check list and order-approval record
  • Key production steps and status reports
  • A shipment-document check list

Typical timeline

Depends on product and factory. Standard production follow-up covers up to 30 days. Longer follow-up goes as an add-on.

What is not included

Actual sample, courier and local delivery cost in China. Independent QC price. Lab testing and certification. Freight booking and price, duty and taxes. Follow-up longer than 30 days. More than one sample round or more factories for sampling. Unlimited talks. Papillon liability for delays or errors the factory makes.

Goods, samples, courier, QC, lab, freight, duty and taxes are shown separately from the Papillon fee.

Add-ons often agreed

QC coordination, freight booking, origin papers, consolidation from several suppliers, extended production follow-up and extra sample rounds. Each add-on is listed in the quote before start.

Fee and quote

Fees are on request. The quote depends on product family, number of SKUs, factories, customisation, timeline and operating scope.

A fixed fee covers research and project work. A sourcing commission activates only when Papillon takes running of a confirmed commercial order. If supplier selection is already done for the same product family, already done work is credited in the quote. Third-party costs stay separate.

What is closed before the deposit

Sourcing execution runs one product family, up to five models, shortlist and RFQ to up to three factories, talks with one, one sample round and production follow-up up to 30 days. Longer follow-up, a second sample round and another factory for a sample are add-ons. Freight and customs are not automatically inside.

Before the lot deposit the purchase order holds spec, packing, Incoterms and written sample approval. A message that the sample is fine is not approval. If the sample does not match, the lot does not start. A tool, if there is one, is a separate line with ownership in the contract.

On sourcing execution above 2,000 USD independent quality control is standard before loading. Coordination and inspection price go separately from the fee. Below the threshold scope is agreed. Inspection does not replace a lab when the market needs a report.

Shortlist research usually takes 1–3 weeks, sample 2–5, make often 4–10 weeks inside or beyond those 30 follow-up days. Sea, about 35–52 days, enters only when freight is agreed as an add-on. Standard 30 days of follow-up is not a promise that every goods will be ready in a month.

What you get during, and what stays on you

You get an offer table, a talks summary, sample status, a purchase order and production reports. At the end, a shipment-document check list: invoice, packing list, and a certificate of origin if you count on the agreement from 1 July 2024. Without a certificate standard duty stays. That is said in the sheet, in two scenarios.

You remain the importer. You approve the sample and you pay the factory for goods on the agreed schedule. Papillon does not guarantee the factory will not be late. Delay is seen in the report, with a next step, not in a message that everything is fine.

Landed cost adds goods, our fee, and separately sample, courier, inspection, freight, duty and VAT. A sourcing commission starts only when we take running of a confirmed order. It is not hidden in the piece price.

What a lot must not leave open

Sourcing execution runs one family, up to five models, RFQ to up to three factories, talks with one, one sample round and follow-up up to 30 days. Longer follow-up, a second sample round and another factory for a sample are add-ons. Freight and customs are not automatically inside.

Before the deposit the purchase order has spec, packing, Incoterms and written sample approval. A message that the sample is fine is not approval. Above 2,000 USD independent QC is standard before shipment, as a separate cost stated in advance. Shipment is not booked until the report is approved.

At the end of the paper list sit invoice, packing list and COO if you count on the agreement from 1 July 2024. Without a certificate standard duty stays. Those are two scenarios in the sheet, not one promise. Sea is about 35–52 days and is not part of 30 days of production follow-up. You remain the importer and you pay the factory for goods on the agreed schedule.

Često postavljana pitanja

Not automatically. Freight and customs coordination is agreed as an add-on or a separate scope. The quote clearly shows what is included.

On orders above 2,000 USD we recommend independent quality control. Coordination and inspection price go separately from the base package.

We can narrow scope to talks, sample, purchase order and follow-up. That is agreed in the quote.

Send a brief with spec, quantity, date and target price. We return scope, timeline and an individual quote.
