Lighting from China, from a Guzhen showroom to a lot

Lighting from China does not stop at a chandelier photo. A luminaire that buzzes, shifts shade or arrives with another driver is not the one you approved in the showroom. Zhongshan and Guzhen are the cluster. Papillon goes behind the booth: line, light source, driver, glass packing and quality control (QC) before shipment. The lot starts only when the sample is switched on and approved in writing.

Who this import is for

For a lighting distributor or showroom filling a warehouse by model: chandeliers, ceiling, wall, track and technical lamps, outdoor lighting. The goal is a repeatable lot, the same shade piece to piece, and landed cost that fits retail.

For a hotel, restaurant, café or office, light goes with furniture and the opening date. That is not the same list. A room is not finished if the chair stands and the chandelier is late. That programme is on the interior fit-out page. Here the rule that holds in both cases: the sample is switched on before the lot.

Papillon runs sourcing, inspection and import. We do not replace a lab, a lighting designer or the electrician on site. Install is done by your team.

Zhongshan and Guzhen: a booth is not a line

Guzhen is a showroom belt. There you pick shape, finish and glass. Behind the showroom are plants in Zhongshan and around, often with a subcontractor for casting, paint or glass cutting. An Alibaba account with a Guzhen address can be a showroom assembling someone else’s housing and someone else’s source.

In the plant three things are checked. Where soldering and assembly happen. Who supplies source and driver, and whether that code sits on the sample. How glass is separated from metal in the carton. If one firm makes the housing and another the electronics, both enter the purchase order. Otherwise a cheaper driver enters after the sample, and the housing stays the same.

The shortlist is two to three factories for the same luminaire type. Comparison is on a switched-on sample, not a catalogue. The lowest housing price without a named driver is not an offer.

What must be written before the deposit

Without a spec the factory sends a similar white lamp. Similar in a showroom and different in a container is seen as soon as a row of ten is switched on.

Power and voltage
watts, 220–240 V, whether dimming is in the price
Light
colour temperature in kelvin and CRI if you need it
Housing
size, weight, metal, glass, colour, mounting
Protection
IP where the luminaire goes outdoors or in moisture
Inside
source code and driver code, not the word LED
Paper
spare part, warranty period and what warranty does not cover

The sample is switched on, not only photographed

The sample goes switched on. Real power, buzzing, flicker and whether the shade matches spec are measured. Approval is written, with a photo of the lit luminaire and the driver code inside. An ok on a photo of a dark lamp is not approval.

If several pieces sit in the same room, the sample is a pair, not one. Two pieces from the same lot show whether shade drifts. A guest and a shop buyer see that before you see it on a claim.

A piece from a drawing, a new housing mould or engraving is a separate line. Tool and tool ownership enter the purchase order. The lot does not start until the mould is approved on a sample. A ready line model arrives faster. If the sales or opening date cannot take a tool, narrow the programme to housings already in the plant.

The driver is locked in the purchase order

The housing is what is seen. A failure after six months is more often the driver or source. That is why the code must not be equivalent. Equivalent after the deposit means a quieter unit, shorter life and buzzing that was not in the showroom.

Pre-shipment inspection includes opening an agreed sample of cartons: whether the same code as on the approved piece is inside, whether the mark on the product is readable and whether the luminaire lights. If the code does not match, the container is not sealed.

Spare drivers and sources enter quantity before loading, not we will send if needed. For a hotel and a shop, scrap without a spare part means a piece that sits dark while it waits for another shipment.

CE and a matching code

What the market you place the luminaire on requires is defined in the brief, before the deposit. A sticker without a report for that model is not proof. Last year’s report for a similar chandelier is not a report for this lot. Papillon does not replace a lab. We ask that the code on the product, in the report and on the commercial invoice is the same.

One letter of difference is a reason the remaining payment waits. A fix when goods are already at sea does not change the paper customs and the buyer read. What to check before the deposit is on the CE marking page.

HS goes in the same review. Duty depends on it. The Serbia China FTA, in force from 1 July 2024, lowers the rate only with a correct code and COO. COO is requested before loading. Zero duty is not a lighting-category promise.

Glass, LCL and FCL

Glass and metal in the same carton need corner protectors, a separate glass wrap and an orientation mark. A standard export carton without that check is not a spec. Packing is checked in China, before the seal.

Samples go by air. The lot goes by sea. LCL makes sense for a trial quantity. Breakage is common when glass mixes with someone else’s cargo in the same container. As soon as volume nears 20 or 40 feet, FCL usually gives a lower unit price and fewer handlings. If you join lighting with furniture, the load plan keeps glass away from heavy pieces.

Landed cost per piece adds luminaire, freight, duty, VAT and expected scrap. A cheap housing with high breakage is not a cheap lot. That percentage is said before the purchase order, from packing and inspection, not as a surprise at the warehouse.

Sale by model and light for a site

A distributor orders by model, for stock. A lot may have several codes if each has its own sample and carton. It must not change driver mid-run because the factory ran out of the agreed unit.

A site orders backwards from opening. Light must be in the mock-up room or zone together with furniture, not we will add chandeliers. If there is less time between today and opening than sample, make and sea, cut the number of pieces from a drawing. That is said in the brief, not after a mould deposit.

Furniture, ceramics and lighting do not pass the same inspection list. Unload date is joined. Criteria are not. A buzzing driver, a glaze crack and a chair squeak are solved separately, in China.

Timeline and what goes in the brief

Shortlist usually takes 1–3 weeks. Sample and measurement of a switched-on piece another 2–5. Make of a ready model often falls in 4–8 weeks, then sea about 35–52 days. A housing mould adds time before that lot. Air shortens the sample path. It does not shorten a plant waiting for glass.

Put in the brief luminaire type, quantity by model, where it lights (indoors, moisture, outdoors), colour temperature, whether dimming is needed, target price and warehouse or site date. The answer is a shortlist, what sits in the spec and a landed-cost outline per piece.

Često postavljana pitanja

For chandeliers and decorative luminaires we start from Guzhen and Zhongshan. The showroom is in Guzhen. Assembly and driver are checked in the plant, not on the booth.

The luminaire is switched on. Power, buzzing, flicker and shade are checked. The driver code inside must match the purchase order. A dark photo is not approval.

Yes, with a drawing and a mould sample. Tool and MOQ depend on the housing. Tool time adds weeks before the lot. A ready line model arrives faster.

No. A report for that model is required, and a code that matches on the product, in the report and on the invoice. You define the destination market in the brief. Papillon does not replace a lab.

A trial quantity often goes LCL, with separate glass packing. As soon as volume nears 20 or 40 feet, FCL usually gives less breakage and a lower unit price. We calculate both before the purchase order.

Shortlist 1–3 weeks, sample another 2–5, make of a ready model often 4–8 weeks, sea about 35–52 days. A housing from a drawing adds time before the lot. The exact date goes in the quote after the brief.

No. We run sourcing, inspection and import. The electrician and install are your team. For a hotel and restaurant, light goes in a mock-up zone together with furniture, before the full lot.
